Procedure No. 915.7

Description: Fuel Dispensing Control

Area: Facilities Management
Adopted: 04/23/96
Revisions Approved: 9/30/19
  1. Receiving and dispensing of fuel will be the responsibility of the Grounds Foreman and/or Automotive Mechanic. Reordering will be the responsibility of the Facilities Management office personnel. A log will be kept at the pump site for logging withdrawal dates, vehicle mileage, license number, department/division and number of gallons.
  2. As a car is returned after use, its tank will be filled to record the amount of fuel consumed. A log will be kept at the pump site for logging such withdrawals (by date, vehicle mileage, license number, department/division, and number of gallons). End of month back charges will bill the applicable department for gas added for the travel.
  3. For trips going beyond the mileage of a full tank, there is a Wawa credit card within the vehicle for any additional gas that is needed. Any gasoline purchased on the credit card is charged to the budget number provided when the van was originally reserved. These costs are addressed through end of month back charges.
  4. NO FUEL WILL BE PUT IN PRIVATELY OWNED VEHICLES AS THIS IS TAX FREE FUEL AND IT IS A FEDERAL OFFENSE TO DO SO.
